Certified Evidence

Accordia is not only a place to send documents and collect signatures. Its real purpose is to turn each of those interactions into legally valid, verifiable evidence — so that if what was agreed is ever questioned, you can prove what happened, when it happened, and who was involved.

Every action you run — a certified email, a video appearance, a signature request, a file exchange — generates an evidence record. Those records accumulate on the Case, which is why a case is best thought of as a case file: the complete, certified history of one digital relationship between parties.

A certified action records, in a way that can be independently verified later:

  • What was sent, signed, said, or exchanged — the exact content.
  • When it happened — through a qualified electronic timestamp.
  • Who was involved — the identified participants on each side.
  • That it hasn’t changed since — through a cryptographic hash of the content, and a seal issued by a qualified trust service provider.

That last point is the important one: the evidence isn’t just Accordia’s word for it. It rests on Namirial’s qualified trust infrastructure under the eIDAS Regulation, so it holds up outside the platform.

Action Evidence generated
Communication (certified email) Proof of sending, delivery, reading, and content — plus a record and timestamp.
Video Call (certified video appearance) A recording, a transcript, and optionally an AI-generated summary.
Document Sign (electronic signature) Complete cryptographic evidence of the signature, issued through Namirial.
File Upload / File Sharing (certified file exchange) A hash of the file, its metadata, and a timestamp — certifying both the exchange and the preservation of the document.
Burofax (certified postal notice) Proof of sending and delivery through the postal certification provider.
Media Evidence The captured media file, retained as an evidence record on the action.

Four actions, one body of evidence: whichever mix of them a case uses, the result is a single coherent file rather than a pile of unrelated receipts.

At any point in a case’s life — not only at the end — you can request:

  • A certified report of the whole process, covering everything that has happened on the case so far, or
  • Individual evidence for one specific action.

You don’t have to close the case, or wait for every participant, to obtain proof of what has already been certified.

When a case is closed, Accordia generates a certified, sealed log of the whole case file — the definitive record of the complete digital relationship between the parties. Because closing is one-way and produces this final record, make sure everything is finished before you close.

  • A Case is the container that groups the evidence.
  • Each Action Type determines what kind of evidence is produced.
  • Compliance explains the legal framework that gives that evidence its weight.
