Users & Organizations

Every user (except Super Admins) belongs to one Organization. An organization has a name, VAT number, address, and an active/inactive status. Organizations own everything else in the system: cases, participants, workflows, and templates all belong to one organization.

Organizations work on a credit system, managed under Credit Management. Separate limits (used / limit / available) are tracked for:

  • Cases
  • Users
  • Video call minutes
  • Communication actions
  • Document Sign actions
  • Storage (MB)

You’ll see a warning as you approach a limit. If your organization runs out of a given credit, you won’t be able to create more of that thing (for example, a new case, or a new Quick Action) until credits are freed up or added.

Organization Admins can configure organization-level integration settings (for example, which email provider to send notifications through) under Platform Parameters.

Organizations can also generate API keys for programmatic/integration access, managed from the organization’s settings.

Every user has one of three roles, which controls what they can see and do:

Role Scope
Regular Cases and Participants only, within their organization.
Organization Admin Everything a Regular user can do, plus Users, Roles, Workflows, and Templates within their organization.
Super Admin Platform-wide: Organizations, Countries, Taxes, and Products & Pricing. Not tied to any one organization.

Organization Admins can also define custom, organization-scoped Roles beyond these three, under Role Management.

Regular and Organization Admin users must belong to an organization and provide a VAT number and country when created; Super Admins are platform-level and don’t belong to any organization.

Your organization’s credits and platform settings shape what you can do with Cases, Workflows, and Quick Actions; your role determines which parts of the app you can even see.
